Managing the logistics of a traveling workforce can be complicated, especially when it comes to incidentals. Even if reservations are booked on a company card or account, hotels still require a credit card at check-in to cover incidentals. Providing a personal credit card can be a burden for Travelers – especially since it can take up to a week for a hotel to remove incidental holds.
Save time at check-in and ease the strain of travel on your staff with Engine’s Incidentals Coverage!
How can I apply?
If your company is eligible, the Admins will see a banner to apply under the Billing & Payments tab. You can also contact your Engine Account Manager to see if your business qualifies.
When signing up, you’ll need to sign a Payment Terms Agreement and confirm T&Cs. You’ll then get access to the Billing tab within the Engine platform. On this page, we will walk you through your credit limit, set up a valid form of payment, and turn on Autopay. After this, you can add Incidentals Coverage to any booking on Engine.
If you are enrolled in Direct Bill, check with your Account Manager to make sure you get access to Incidentals Coverage as well!
How do I apply Incidentals Coverage to my bookings?
When searching for a hotel, use the Incidentals filter – not all properties accept Engine’s Incidentals Coverage.
On the final page, ensure Incidentals Coverage is checked before you complete your booking. Engine charges $5 per booking with Incidentals Coverage. If the option does not appear, the property does not accept our Incidentals Coverage. Note: Incidentals Coverage cannot be added to a reservation after it has been booked.
If you cancel the reservation within the hotel’s cancellation policy, you’ll get the $5 charge for Incidentals Coverage refunded. If you create a Self-Service Extension to extend the trip, it will cost an additional $5 for Incidentals Coverage to carry over because the extension is technically a separate booking.
An Admin can block, make optional, or require Incidentals Coverage within Travel Policies for their company.
Do I need to do anything special when checking into a property?
You do not! If the property says they require a credit card for Incidentals and you selected Incidental Coverage with Engine, contact Member Support.
How do I dispute charges?
You can dispute charges by contacting incidentals@engine.com. You’ll have 10 business days to submit your dispute after the invoice becomes available.
What if I want to increase my Incidentals Credit?
Please reach out to your Account Manager to see if this is possible.
