Frequently Asked Questions (FAQ)
-
What is E-Receipts?
-
E-Receipts is an integration between Engine and Concur Expense. We publish a free app in the Concur App Center that creates expense records for Engine lodging bookings for mutual customers.
-
-
What does the integration do?
-
It sends Engine lodging bookings to Concur Expense. If a customer has the integration enabled, lodging bookings will appear as digital receipt records in Concur Expense 24 hours after the stay is completed.
-
-
Does it cost money to use?
-
No, we do not charge for using the integration.
-
-
Which bookings does it work for?
-
It works for lodging bookings paid for (at least in part) with a credit card, Direct Bill, Engine X cards, or Engine X credit.
-
-
Does it work for lodging bookings paid for completely with Reward Points or Travel Credits?
-
No. If the booking is paid for completely with Reward Points, Travel Credits, or a combination of both, the booking will not become a receipt in Concur. If at least $0.01 was paid for with credit card, DB, or EX, then yes.
-
-
Does it work for car bookings or flight bookings?
-
No, not at this time.
-
-
Does it work for Engine X transactions at external merchants?
-
No, not currently.
-
-
When a receipt is transmitted to Concur, what does it look like?
-
It appears as an "available expense." The receipt package includes data about the booking (price, date, user information) plus the Engine folio as the receipt image.
-
-
When a receipt is transmitted to Concur, which user receives it?
-
Depending on how the integration is configured, either the booker or traveler will receive the receipt.
-
-
Why do bookings only appear in Concur Expense 24 hours after the booking is completed?
-
We wait 24 hours to reduce the likelihood of transmitting out-of-date receipt data.
-
-
What happens after the receipt is transmitted to Concur?
-
This depends on how each customer has configured Concur Expense. Each customer's implementation will be different based on their own rules and policies.
-
-
Are custom fields provided as part of the expense report?
-
No. Concur's API does not allow us to transmit custom fields as structured data. However, custom fields are printed on the folio, which is sent to Concur as an image.
-
-
How do I enable this integration?
-
You can enable it within Concur by finding the Engine E-Receipts app in the Concur App Center, clicking "Connect," and authenticating using Engine credentials.
-
-
Which Engine users can enable it?
-
Admins only. Engine users with the Admin role can enable or disable the integration for their business.
-
-
Can Engine enable this integration for me?
-
No. The integration requires authentication as an Admin user of the account. Engine staff will not be able to do this in most cases.
-
-
How do I disable this integration?
-
You can disable the integration in the Concur App Center by clicking the "Disconnect" button.
